Flowers Seller

Your Flowers Seller CRM guide

Everything you need to do, step by step. Keep this link and open it whenever you need it.

1. Your daily routine (5 minutes)

  1. Check your email for messages from Flowers Seller CRM. They tell you who is waiting for prices.
  2. Open Conversations (left menu) and reply to anyone waiting.
  3. Open Opportunities and move each deal to the right stage (see section 4).
  4. Once a week, clean up some old contacts (section 8).

2. How the chat assistant works

Your assistant is called Flowers Seller Assistant. It answers new messages on WhatsApp, Instagram, Facebook Messenger, TikTok and the chat bubble on flowersseller.com for you, in English or Arabic.

What it does

  • Asks what the customer needs, whether it is for a business or a personal order, the quantity, the delivery emirate and area, the date, their name and their email.
  • Saves every answer on the contact, so you don't have to ask again.
  • Never gives prices. It tells the customer that you will send them.
  • When it has everything, it says thank you, stops, opens the deal in the right pipeline and emails you.
  • If the customer stops replying, it sends a gentle reminder (only about what is still missing).

When it stays quiet

  • As soon as you reply in a chat, the assistant goes quiet so you can take over.
  • If the customer writes again later (after 2 hours), it may answer again.
  • It never answers your team, delivery men or suppliers.

Comments on your posts

When someone comments on an Instagram post (flowersseller) or a Facebook post (Flowers Seller - AbuDhabi), they automatically get a private message asking how we can help, and a short public reply under their comment. The assistant then continues the chat in their messages. Each person gets this automatic message only once.

If the assistant ever says something wrong, reply to the customer yourself. It will stop and let you handle the chat. Then tell TheBuzihub so we can fix it.

3. When you get a "New chat enquiry" email

This means a customer is waiting for your prices. The email shows everything the assistant collected: name, phone, email, business or personal, services, flowers, quantity, delivery place, dates and a short summary.

  1. Go to Conversations and search the customer's name.
  2. Read the chat, then send your prices and details.
  3. Go to Opportunities, open the pipeline named in the email, and move the deal to the next stage.
2-hour reminder: if nobody replies to the customer within 2 hours, you get a second email: "Reminder: ... is still waiting for a reply". Only you get this reminder; the customer gets nothing.

4. Your 3 pipelines and how to move a deal

PipelineWho goes here
Wholesale InquiriesFlorists, shops, events, big quantities
Retail InquiriesPersonal orders: bouquets, gifts, occasions
Marketing PipelinePeople we don't know yet if they are wholesale or personal

To move a deal to the next stage

  1. Click Opportunities in the left menu.
  2. Choose the pipeline at the top.
  3. Drag the deal card to the right column, or open it and change Stage.
  4. When the customer orders, set the status to Won. If they say no, set it to Lost.
Inside a deal you will also find Prices Sent Date and Next Follow-up Date. Filling them in helps you remember who to chase.

5. When you are asked to set the Segment

Sometimes the assistant can't tell if an enquiry is wholesale or personal (for example, the customer stopped replying). The deal then goes to the Marketing Pipeline and you get an email asking you to decide.

  1. Open Opportunities > Marketing Pipeline and click the deal.
  2. Find the field Segment and choose Wholesale or Retail.
  3. Save. The deal moves to the right pipeline by itself.

6. Supplier messages

When someone writes to sell to you (farms, importers, packaging, transport), the assistant collects their details, replies "Someone from our team will assist you soon", and stops. No deal is opened.

You get an email: "New supplier message", with their name, company and what they offer. To answer them, go to Conversations and search their name.

7. Website enquiries

When someone fills in the form on flowersseller.com, they are saved automatically. A deal is opened, you get an email, and the customer gets a thank-you message. Reply to them the same way as a chat enquiry (section 3).

8. Your job: cleaning up the old contacts list

We uploaded your old WhatsApp list (about 5,700 numbers). We don't know yet who is a customer, a supplier, a delivery man or team. These contacts have the tag contact type: bulk upload. While they have this tag, no automatic messages go to them.

Your job is to tell the system who each one is. As soon as you do, the bulk upload tag is removed by itself and the contact is treated normally.

Step 1: show only the old contacts

  1. Click Contacts in the left menu.
  2. Click Filters (top left of the list).
  3. Choose Tags, then is (or "has tag"), then pick contact type: bulk upload.
  4. Apply. Now you only see the contacts that still need sorting.

Step 2a: sort one contact

  1. Click the contact's name.
  2. In Tags, add one of these:
    • contact type: customer for someone who bought from you
    • contact type: supplier for someone who sells to you
    • contact type: delivery man
    • contact type: team
  3. That's it. The Contact type field updates and the bulk upload tag disappears within a minute.
  4. If you know their real name or email, fix it on the same screen.

Step 2b: sort many at once (faster)

  1. In the filtered list, tick the boxes of all the contacts of the same type (for example, all your suppliers).
  2. Click Add tags at the top of the list.
  3. Type a short name for the action (for example "Suppliers clean-up"), choose the right contact type tag, then click Add tags.
  4. The system does the rest. It may take a few minutes for large groups.
Not sure who someone is? Leave them. If they message you, the assistant will gently ask them and note the answer in the enquiry summary. You can then tag them.
Tip: do a little each week, starting with the people you know best: your suppliers, delivery men and regular customers.

9. What the tags mean

Tag starts withMeaningWho adds it
contact type:Who the person is (customer, supplier, delivery man, team, lead, prospect)You, or the system
segment:Wholesale or retailThe system
service:What they asked about (hand bouquet, centrepieces, wholesale stems...)The system, or you
source:Where they first came from (Instagram, TikTok, WhatsApp, website...)The system
medium:How they reached you (website chat, WhatsApp button, bio page)The system
contact status:How warm the lead is: hot, warm or cold (set from the assistant's rating)The system
action:Internal steps used by the automationsThe system. Please don't remove these.

10. Please don't

  • Don't delete tags that start with action:. The automations use them.
  • Don't change a contact's source. It shows where they first came from.
  • Don't delete deals. Mark them Lost instead, so you keep the history.
  • Don't share your CRM login.
